Nearly every rental business starts on a spreadsheet, and there is nothing wrong with that. The trouble arrives on a busy Saturday in peak season, when two people answer WhatsApp at once, or when a customer disputes a scratch and the handover photos are on someone else's phone. This guide is an honest look at when a spreadsheet is enough, where it breaks, what each option really costs, and how to move to software without losing a single booking.

When is a spreadsheet enough?

If most of this sounds like you, keep the spreadsheet and don't pay for anything:

  • You run one to three vehicles.
  • You alone take bookings and hand over the keys.
  • You get a few bookings a week, nearly all through one channel (phone or WhatsApp).
  • You have no online booking page and don't sell through third parties.
  • Paper contracts sit in a tidy folder and you can find last spring's in a minute.
  • Your accountant takes your invoices without complaining about the numbering.

At that size a sheet with one row per booking, one column per vehicle and a colour per status works, and you know it by heart. Software would save you very little. What you give up is only what the sheet cannot do on its own: block an overlapping booking, keep the signature and photos with the booking, and number invoices without you having to remember.

Where does the spreadsheet break?

It rarely breaks because of the number of vehicles. It breaks when the business goes from one person and one channel to several people and several channels.

Double bookings. Excel and Google Sheets show you what someone else typed, but nothing stops two rows booking the same car for the same weekend. Conditional formatting can colour the overlap red, but only if someone checks that tab before replying to the customer. And the cleaning gap between rentals, the turnaround time, lives in someone's head.

Availability across channels. One booking arrives on WhatsApp, another by phone to your business partner, a third by email. Each gets typed in when someone has a minute. Between the call and the row there is a gap, and in that gap the same car gets sold twice.

Deposits. The sheet has a column that says "deposit: €300" and not much else. It doesn't know whether you took it in cash or held it on a card, whether it was returned, or how much you kept for damage. When the customer disputes it weeks later, that column proves nothing. Contracts and signatures. Print, fill in by hand, sign, scan or photograph, file. Every step is a place where a page goes missing or a plate number gets mistyped.

Inspections and photos. Handover photos live in the camera roll of whoever did the handover. If that phone breaks, the employee leaves, or it simply holds 4,000 photos, the evidence is gone. A proper vehicle inspection needs the date, mileage, fuel level, photos and the customer's signature, kept together.

Invoices and numbering. In the EU, the VAT Directive requires every invoice to carry a sequential number that uniquely identifies it (Article 226). With a word-processor template and a number someone copies from the last invoice, a gap or a duplicate is only a matter of time, and untangling it with your accountant costs more than preventing it.

Customer data. A spreadsheet holding the ID, licence, address and phone number of hundreds of customers, copied to a laptop, a phone and a forwarded email, is hard to protect. And when a customer asks for a copy of their data or for it to be erased, as the GDPR allows (Articles 15 and 17), you have to search every copy.

Who changed what. Google Sheets' version history shows cells, not decisions. When a booking's deposit drops from €300 to €150, the sheet won't tell you who did it or why.

Peak season. Everything above is manageable at ten bookings a month. At ten a day, the same details are typed three or four times (sheet, contract, invoice, confirmation message), and the mistake lands in the copy nobody checks.

What does each option really cost?

The spreadsheet costs whatever you already pay for Microsoft 365 or Google Workspace, or nothing. Its real cost is the time per booking and the mistakes.

A worked example to run the numbers yourself (an assumption, not a measurement: swap in your own minutes). One car booked over WhatsApp at a five-vehicle rental business:

  • Check the sheet for availability and reply: 3 minutes.
  • Enter the booking in the sheet: 2 minutes.
  • Fill in the paper contract at pickup: 8 minutes.
  • Photograph the car and send the photos to the customer: 5 minutes.
  • Make the invoice from the template: 5 minutes.
  • Update the sheet at return: 2 minutes.

That is 25 minutes per booking in this example, and half of it is retyping details you already had: name, plate, dates, price. At 60 bookings a month it would be 25 hours. Software doesn't remove the walk around the car or the conversation with the customer, but it does remove the retyping, because the contract, the inspection and the invoice all come from the same booking. What doesn't Renviq do?

Better to know before you migrate:

  • No native mobile app. It is a web app that runs in a phone browser. It needs a connection, so you can't work offline the way you can with a local spreadsheet.
  • No card-terminal integration. Payments and deposits taken on your own terminal or in cash are recorded by hand. Holding a deposit on a card works through your own Stripe account, where Stripe can onboard your business.
  • No channel-manager or marketplace sync. Bookings that reach you through other channels go into the calendar by hand; Renviq's own booking page writes straight into it.
  • One tax rate for the whole business.
  • No import of bookings or customers, only vehicles (see the migration plan below).

Is it time to switch? The signals

If two or more apply, the spreadsheet is already costing you more than it looks:

  • More than one person takes bookings.
  • You have had a double booking, or a near miss.
  • Bookings reach you through two or more channels.
  • You couldn't find the photos or the contract when a customer disputed damage.
  • You have had to fix an invoice number.
  • Deposits are tracked in notes, messages or memory.
  • In peak season you type the same details three or more times per booking.
  • You'd be in trouble if the phone with the photos got lost.
  • You want a direct booking page and can't see how it would talk to the sheet.

How to move from a spreadsheet to software without losing bookings

  1. Pull out what you need from the sheet

    Split it into tabs: the vehicle list (make, model, plate, year, base price), bookings with a pickup date from today onwards, the customers on those bookings, the deposits you are holding right now, and the number of the last invoice you issued. History doesn't need to move; it stays in the sheet as an archive.

  2. Set up the account

    Create your locations with their addresses, set your tax rate and your invoice number format. If you are starting a new invoice series with its own prefix, agree it with your accountant first so the numbering stays sequential.

  3. Import vehicles with the CSV template

    In the fleet section, choose CSV import and download the template for cars, motorbikes or boats. Copy your columns into it, save as CSV (semicolon-separated exports from European Excel work too) and upload it. Renviq validates every row and shows the errors before creating anything.

  4. Pick a cut-over date

    A quiet Tuesday or Wednesday, never a Friday in peak season. From that day, every new booking goes into the software first, whatever channel it came through.

  5. Enter upcoming bookings by hand

    Renviq doesn't import bookings or customers. Enter each booking with a pickup after the cut-over date, adding the customer as you go, and note any deposit you already hold. For a 5–15 vehicle fleet that is usually an afternoon's work.

  6. Run both for a week

    For seven days, also write each booking in the sheet, and every evening compare the two: same bookings, same dates, same vehicles. If they match all week, stop writing in the sheet and keep it as an archive.

  7. Do your first full handover in the software

    Contract signed on screen, inspection with photos, fuel and mileage, and the invoice from the booking. Once the team has done a few like that, switch on the online booking page.
