01Acceptance
By creating an account, accessing the Renviq application, or accepting an invitation to a workspace, you accept these terms. If you accept on behalf of an organisation, you confirm you have the authority to bind that organisation.
If you do not agree to any part of these terms, do not use the service.
02Your account
You are responsible for keeping your sign-in credentials confidential, for everything that happens under your account, and for the accuracy of the information you give us at sign-up. If you suspect your account has been accessed by someone else, tell us at support@renviq.io immediately.
Each user must have their own account — sharing a login between humans is not permitted. Workspaces can have any number of users, billed per the active plan.
03Plans and billing
Renviq is offered on a free tier and one or more paid tiers. The full set of product features is available on every tier; tiers differ on usage limits (number of vehicles, bookings, users) and on optional add-ons.
Paid plans are billed in advance — monthly or yearly, at your choice. Polar Software Inc. acts as the Merchant of Record for all paid Renviq subscriptions. This means Polar is the seller of record on your invoices, collects and remits all applicable VAT and sales taxes in your jurisdiction, and is responsible for processing payments, refunds, and chargebacks. By purchasing a paid plan you also agree to Polar's terms of service and privacy policy.
Prices are shown in EUR by default and converted to your local currency by Polar at checkout. If your usage exceeds your plan limits, we will notify you in-app and by email and ask you to upgrade. We do not silently apply overage charges.
04Free tier
The free tier exists so smaller operators can run Renviq without paying. It is rate-limited but feature-complete. We reserve the right to change the free-tier limits with notice; we do not retroactively bill free-tier usage.
05Cancellation and refunds
You can cancel a paid plan at any time from your billing settings. Cancellation takes effect at the end of the current billing period; you keep access until that date.
Unused time is not refunded — this applies to both monthly and annual plans — except where a refund is required by applicable law.
If you believe a charge is wrong, contact us at support@renviq.io or cancel from your billing settings before opening a dispute with your bank. We provide self-service cancellation and respond to billing questions promptly — resolving it with us directly is faster than a chargeback and lets us correct any genuine billing error.
06Acceptable use
You agree not to: use Renviq to violate any law or third-party right; attempt to gain unauthorised access to any part of the service or to other users' workspaces; reverse-engineer the service except where permitted by law; resell access to Renviq except as authorised by us in writing; or use the service to send spam or unsolicited marketing.
We may suspend or terminate accounts that breach these rules, with notice where feasible and without notice where the breach is serious or ongoing.
07Intellectual property
Renviq, including the application, the website, the documentation, and the underlying software, is owned by us and protected by intellectual property law. We grant you a non-exclusive, non-transferable right to use the service in accordance with these terms for the duration of your subscription.
You retain all rights in the content you create or upload into the service — see 'Your data'.
08Your data
Anything you put into Renviq — fleet data, bookings, customer records, agreements, invoices, photos uploaded as part of an inspection — belongs to you. We process it on your instructions, as your data processor under GDPR.
You can export your data at any time in standard formats (CSV for tabular data, PDF for documents). On account closure, you have 30 days to export before we begin the deletion process described in the privacy policy.
09Warranties and disclaimers
We warrant that we will provide the service with reasonable care and skill and that we will use commercially reasonable efforts to keep the service available, secure, and free of material defects.
Except for the warranty in the previous paragraph, the service is provided 'as is'. To the maximum extent permitted by law, we disclaim all other warranties, express or implied, including any warranty of merchantability, fitness for a particular purpose, or non-infringement.
10Limitation of liability
To the maximum extent permitted by law, our total liability to you for any claim arising out of or relating to the service is limited to the amount you paid us in the 12 months preceding the event that gave rise to the claim.
We are not liable for: indirect, incidental, special, consequential, or punitive damages; loss of profits, revenue, or anticipated savings; loss of data where you had a reasonable means to back it up via the export feature.
Nothing in this section limits liability that cannot be limited under applicable law, including liability for fraud or gross negligence.
11Indemnification
You agree to indemnify Renviq against any third-party claim arising out of your use of the service in violation of these terms or applicable law, or out of content you uploaded that infringes a third-party right.
12Termination
You can stop using the service and close your account at any time from your account settings. We can terminate or suspend your account if you materially breach these terms, if your payment fails and is not remedied within a reasonable period, or if we discontinue the service (we will give at least 90 days' notice in that case).
Sections that by their nature should survive termination (IP, your data export window, liability, governing law) survive.
13Governing law
These terms are governed by the laws of Ukraine, where the Renviq operator is registered as a sole proprietor. Disputes that cannot be resolved informally will be heard exclusively by the competent courts of Ukraine.
If you are a consumer resident in the European Union, nothing in this section deprives you of the mandatory protections of the law of your country of residence. Payment-related disputes are handled by Polar Software Inc. under its own terms of service, governed by the laws of Delaware, USA.
14Changes to these terms
We may update these terms from time to time. Material changes will be notified at least 30 days before they take effect, by email to the address on your account and in-app. Continued use of the service after the effective date constitutes acceptance.
