Best rental software for cars, bikes and boats (2026)

The shortlist below compares eight tools on what a small rental business needs day to day: which vehicles each one is built for, the published entry price, online booking, e-signature, photo inspections, card deposit holds and a staff app. Every fact comes from the vendor's own public pages, and each product gets its limits as well as its strengths, Renviq included.

Which rental software should you choose?

There is no single winner. The right tool depends on four things: what you rent, how many units you run, whether you need a native app for staff at the counter, and whether the software has to hold card deposits for you. Most of the eight cover bookings, contracts and invoicing. They differ in plan gating, add-ons, currency and deposit handling.

In short:

• Renviq suits small and mid-sized car, motorbike and boat fleets that want every feature on every plan and a free tier to start, including card deposit holds through your own Stripe account. It has no native app.
• RentSyst suits operators who want a flat €55 a month up to 15 vehicles and a long list of payment integrations, including card authorization.
• Rent Centric suits larger or multi-vertical operators who are happy to get a quote. Prices are not published.
• HQ Rental Software suits car and van rental operators, including multi-branch ones, that want a native staff app on every plan and can budget a one-time onboarding fee on top of USD pricing. Motorbikes and boats need configuration.
• Booqable suits general rental businesses (equipment, bikes, boats) that can accept USD pricing and want to authorize saved cards.
• RentHub suits Italian car rental and chauffeur (NCC) businesses that need e-invoices sent through SDI.
• Rentgine suits Hungarian operators who invoice through Számlázz.hu and bill in forints.
• TWICE Commerce (formerly Rentle) suits general rental and resale shops, such as ski or bike rental, that sell through an online store. It is not built around vehicles.

Which tool fits your situation?

• Small mixed fleet on a budget. Renviq's Free plan covers 2 vehicles and Starter covers 15 vehicles for €49 a month, with inspections, agreements and online booking included. RentSyst's Beginner tier is €55 a month flat for 0–15 vehicles.
• You need a native staff app. Rent Centric (Mobile Agent Pro on the App Store and Google Play), Booqable (iOS and Android) and HQ Rental Software (iOS and Android, on every plan, for pickup and return with photos, fuel and odometer readings and the customer's signature) publish one. Renviq does not have a native app; its web app runs in a phone browser.
• You need card deposit holds built in. Booqable can "charge or authorize customers' saved cards on file". RentSyst lists "Card authorization" on its pricing page. TWICE Commerce says you can "hold deposits". Renviq holds the deposit on the customer's saved card through your own Stripe account and renews the hold automatically while the booking is open.
• Italian operator needing SDI e-invoicing. RentHub states that its e-invoices are issued as XML and sent through SDI. RentSyst lists e-invoicing and Peppol on its pricing page; ask whether that covers SDI.
• General, non-vehicle rental. Booqable and TWICE Commerce are built for rental in general, from equipment to ski gear, with motorcycle and boat pages on Booqable's site.
• Large multi-branch fleet. RentSyst includes unlimited branches and managers on every tier and prices per vehicle up to 400 vehicles, with a custom tier above that. Renviq Max has unlimited vehicles and 100 users. Rent Centric quotes by vehicles, users and locations. HQ Rental Software includes one branch in each plan, charges $50 a month per extra branch and prices fleets above 50 vehicles through a calculator.

How did we compare them?

We read each vendor's public website and pricing page on 12 September 2026 (HQ Rental Software on 15 September 2026) and noted only what those pages state. The criteria are the ones that change a small operator's working day:

1. Vehicles supported: what the vendor says it is built for.
2. Entry price as published: the lowest paid or free plan, in the vendor's currency and billing period.
3. Online booking: whether a booking page or website widget is included, and on which plan.
4. E-signature: whether customers sign the rental agreement digitally.
5. Photo inspections: whether pickup and return photos and damage records are part of the product.
6. Card deposit hold: whether the vendor says it can hold (pre-authorize) a deposit on the customer's card.
7. Staff app: whether a native iOS or Android app for staff is published.

A few ground rules apply throughout:

• "Not published" does not mean "missing". It means we did not find the feature on the vendor's public pages. Many vendors document more in demos, help centres or contracts. Ask them.
• Prices are quoted as published, per month, and excluding VAT where the vendor says so. Currencies differ (EUR, USD, HUF), so we do not convert them. Exchange rates and VAT change what you actually pay.
• Renviq is our product. Its facts come from our own pricing page and llms.txt. We applied the same "published or not" rule to it, and its section lists its limits.
• No ratings or reviews. We did not use review-site scores. Renviq is a young product with no public reviews yet, so a rating comparison would not be fair in either direction.

How do the eight tools compare feature by feature?

Read "Listed" as: the feature appears on the vendor's pricing page, but we could not tell from the page which tiers include it.

What do they cost, and what limits each price?

Plan limits matter more than the headline number. Here is the entry price of each tool and what it is capped by.

• Renviq: Free €0 (2 vehicles, 1 user, 10 bookings a month); Starter €49 (15 vehicles, 3 users); Pro €99 (50 vehicles, 10 users); Max €199 (unlimited vehicles, 100 users), EUR per month. Only capacity changes between plans; 14-day trial on Pro and Max. See pricing.
• RentSyst: €55 a month flat for 0–15 vehicles, then €3.0, €2.7, €2.5 and €2.0 per vehicle a month as the fleet grows to 400. Prices exclude VAT, installation is free, and training (€50), onboarding (€150), setup (€100) and payment-gateway integration (€300, annual subscribers only) are optional extras.
• Rent Centric: not published. The pricing page asks for company, vehicles, users and locations before showing a price.
• HQ Rental Software: Basic $120 (10 vehicles), Standard $175 (25), Professional $250 (50) a month on monthly billing; annual billing saves up to 8%. Enterprise, above 50 vehicles, is priced through a calculator. Each plan includes one branch, and extra branches cost $50 a month each. A one-time onboarding fee applies: $550 on Basic, $950 on Standard, $1,500 on Professional and Enterprise. Free 7-day trial, no credit card required.
• Booqable: Start $35, Grow $87, Scale $187 a month on monthly billing ($29, $69 and $149 billed yearly). Unlimited inventory and orders, no booking commission. Extra locations cost $29–37 a month each, the website builder $19–24 a month, and the mobile point-of-sale add-on $9–12 per user a month.
• RentHub: a €45 monthly licence plus €1–4 per vehicle a month depending on active features, plus IVA. The calculator shows €46.00 a month for one vehicle. Over 150 vehicles, you contact them.
• Rentgine: Essential 24 990 Ft (up to 10 vehicles), Advanced 39 990 Ft (25), Max 59 990 Ft (100), net per month plus ÁFA; Ultimate is custom. E-signature and handover photos start on Advanced. 30-day free trial.
• TWICE Commerce: €199 per location a month, with the first two locations at €99, plus a platform tier: Self-service €0 with a 1.5% payment commission, Standard €399 a month (0.9%), Enterprise €5,000 a month (0.5%). Custom document templates such as rental contracts cost €300 each.

Renviq

Renviq is rental management software for car, motorbike and boat rental businesses, operated from Spain.

Strengths

• Every feature on every plan. The Free plan (2 vehicles) and Max (unlimited vehicles) have the same product; only vehicles, users and the Free plan's 10 bookings a month differ.
• Handover built in. A branded online booking page, dual-signer digital rental agreements with a PDF audit trail, and pickup and drop-off photo inspections with damage tracking.
• Card deposit holds on every plan. With your own Stripe account connected, staff hold the deposit on the customer's saved card, Renviq renews the hold while the booking is open, and at return you capture the documented part and the rest is released.
• Deposits and invoicing in one record. Each booking tracks its deposit amount, status, refund and damage deductions, whether held on a card or taken in cash. Invoicing supports per-line tax, B2B reverse charge and credit notes.
• Nine interface languages: English, Spanish, German, French, Italian, Portuguese, Russian, Bulgarian and Arabic.

Limits

• Card payments need your own Stripe account, and there is no terminal integration. Card features work where Stripe can onboard your business, and Stripe's fees apply. Holds go on a card the customer saved on a Stripe page; each 7-day renewal is a new authorization the bank can decline. A deposit taken on your own card terminal or in cash is recorded by hand.
• No native mobile app. The web app works in a phone browser, but there is nothing to install from an app store.
• Young product, no public reviews yet. You cannot check other operators' experience on review sites.
• Verifactu not claimed. Renviq does not claim compliance with Spain's Verifactu invoicing rules.

RentSyst

RentSyst covers cars, small vehicles, boats and yachts, RVs, trucks and heavy machinery.

Strengths

• Predictable small-fleet price: €55 a month flat for up to 15 vehicles, excluding VAT, then a per-vehicle rate that falls as the fleet grows.
• Unlimited branches and managers on every tier.
• Long feature list on the pricing page, including a booking engine, digital agreement editor, digital signature, check-in and check-out, damage management, card authorization, e-invoicing and Peppol.
• Many payment and accounting integrations shown on its site, including Stripe, PayPal, Redsys, Revolut, SumUp, Viva Wallet, Xero and QuickBooks. A 14-day free version is available after registration.

Limits

• Tier coverage is not clear from the page. The pricing page lists features under each tier but we could not tell which are ticked on which tier. Ask before you rely on card authorization or e-invoicing at the €55 tier.
• Setup help is paid. Training, onboarding, setup and the payment-gateway integration package are extras; the integration package is only for annual subscribers.
• No native staff app published. The site describes a web application and a mobile version.

Rent Centric

Rent Centric, headquartered in Toronto, has products for cars, motorcycles and ATVs, RVs, boats, golf carts, accessible vans, dealership loaners and car sharing.

Strengths

• Staff app: Mobile Agent Pro lets agents run check-out and check-in from a tablet or smartphone, from the App Store and Google Play.
• Inspections with video: "360° Image and Video Capture for Damage Control".
• Digital agreements with e-signatures and digital initials, plus internet reservations from your own website.

Limits

• Prices not published. You fill in a form with your fleet size, users and locations to get a price.
• Deposit holds not published. The pages we read mention online credit card payment, not pre-authorization. Ask.
• Invoicing details not published on the pages we read.

HQ Rental Software

HQ Rental Software is the trading name of CAAG B.V., a company organised under the laws of Curaçao. It says it powers car and van rental out of the box and adapts to motorbikes, boats, equipment and long-term leasing with a few configurations.

Strengths

• Staff app on every plan: iOS and Android, for processing pickup and return, uploading pickup and return images, recording fuel and odometer readings and capturing the customer's signature.
• Three ways to sign: on a tablet at the counter, on the customer's own device through a signing link, or in the mobile app at pickup. Signed agreements are stored with ID scans and damage photos.
• Online booking and payments on every plan: a booking widget for your website, full payment or a down payment at booking, and more than 15 payment gateways such as Stripe and PayPal.
• Channel management: availability sync with Expedia, Kayak and Turo, among 30+ integrations across payments, accounting and telematics.
• Over 30 languages, including English, Spanish, Dutch, Portuguese, French, German and Italian.

Limits

• Priced in USD, plus a one-time onboarding fee from $550 on Basic to $1,500 on Professional and Enterprise.
• Extra branches cost $50 a month each; every plan includes one. Channel management may carry additional fees depending on the channel.
• Plan gating: multiple languages, the customer login portal and bookkeeping integration start on Standard ($175 a month); toll management, API access and dynamic pricing start on Professional ($250 a month).
• Deposit holds not published. Rates can include security deposits, but the pages we read do not describe a card pre-authorization. Ask.
• Built for cars and vans. Motorbikes and boats need configuration; its motorbikes and boats page mentions extras such as insurance or helmets, managing captains, recreational packages and boat inspection in the mobile app.
• Contract under Curaçao law. The terms of service are governed by the laws of Curaçao.

Booqable

Booqable, based in Leeuwarden in the Netherlands, is general rental software with dedicated motorcycle and boat rental pages.

Strengths

• Card deposits: refundable deposits calculated automatically, and the option to charge or authorize customers' saved cards on file.
• Many payment providers: Stripe, PayPal, Square, Adyen, Mercado Pago, Teya and Mollie are named on the pricing page.
• Booking page on every plan, plus website integration with live availability, unlimited inventory and orders, and no booking commission.
• iOS and Android app.

Limits

• Priced in USD, which matters if you earn in euros.
• E-signatures start on Grow ($87 a month, or $69 billed yearly), and extra locations, the website builder and mobile point of sale are paid add-ons.
• No photo inspections published. Check-in and check-out are described through barcode and QR scanning.

RentHub

RentHub, based in Milan, has separate products for car rental, chauffeur (NCC) services and equipment rental.

Strengths

• Italian e-invoicing: invoices issued as XML and sent through SDI.
• Two signing methods: advanced graphometric signature and signature by one-time password.
• Damage reports with photos, custom statuses and automatic calculation of extra costs at delivery and return.
• Languages: one main language, English at no extra cost, and six more available.

Limits

• Motorbikes and boats are not named on the pages we read; the products cover cars, NCC and equipment.
• Deposit holds not published. The site names a physical POS by Stripe, but not pre-authorization.
• No staff app published. Its app is a customer booking app for iOS and Android.

Rentgine

Rentgine, from Tiger Softwares in Szeged, Hungary, covers cars, scooters and mopeds, RVs and caravans, boats and corporate fleets.

Strengths

• 30-day free trial on any plan, starting on Advanced for the first 7 days.
• Hungarian invoicing through a Számlázz.hu integration.
• Digital signing and pickup and return photos on Advanced and above, with contract templates in English, German and other languages.

Limits

• Essential plan has no e-signature or handover photos. Those start on Advanced (39 990 Ft a month).
• Priced in forints, net of VAT, which matters outside Hungary.
• Online booking, deposit holds and a staff app are not published.

TWICE Commerce (formerly Rentle)

Rentle's pricing page now redirects to TWICE Commerce. It is a platform for rentals, resales and subscriptions, with examples such as ski rental. It is not built specifically for vehicles.

Strengths

• Online store with deposits: customers pay online, or you can hold deposits.
• Built for general rental, if you rent equipment alongside or instead of vehicles.
• 14-day free trial, no credit card required.

Limits

• Per-location pricing plus a platform tier: €199 per location a month (€99 for the first two), and either a payment commission (1.5% on Self-service) or a monthly platform fee.
• Contracts cost extra: custom document templates such as rental contracts or waivers are €300 each. E-signature and vehicle inspections are not published.
• Not vehicle-specific. It is built for rental in general, so check how a vehicle handover with photos and damage records would work.

Which tools can hold a card deposit?

Holding a deposit on the card (a pre-authorization) blocks the amount without charging it, so you can release it or capture part of it after the inspection on return. Four of the eight say they do it:

• Booqable: "Charge or authorize customers' saved cards on file", with automatically calculated refundable deposits.
• RentSyst: "Card authorization" is listed on the pricing page; we could not tell which tiers include it.
• TWICE Commerce: says you can "hold deposits"; the providers are not published.
• Renviq: holds the deposit on the customer's saved card through your own Stripe account. The customer saves the card once on a secure Stripe page and confirms it with their bank. The hold is renewed automatically while the booking is open; if the bank declines a renewal, the deposit goes back to pending and your team gets an email. At return you capture part of it and the rest is released, or you release it all. Deposits taken on your own terminal or in cash are recorded by hand.

Rent Centric, HQ Rental Software, RentHub and Rentgine do not publish deposit holds on the pages we read. RentHub names Stripe as a physical POS, Rent Centric mentions online credit card payment and HQ Rental Software lists security deposits among its rate features, but none describes a pre-authorization.

Whichever tool you choose, ask how long a hold stays valid with its provider and what happens when a rental is longer than that. Online card holds typically last about 7 days, which is why Renviq renews its hold automatically. The full process is in our guide to card deposit pre-authorization.

What should you check before you sign up?

Feature lists look similar. The differences are in the details, so check these with each vendor, in writing where possible:

1. Which plan unlocks what you need. E-signature and photo inspections are gated by plan at some vendors (Booqable, Rentgine), and multiple languages or a customer portal at others (HQ Rental Software). Price the plan that actually has your must-haves, not the entry plan.
2. Add-ons and per-unit fees. Website builders, extra locations, mobile point of sale, GPS and document templates are billed separately by some vendors. Add them up for your fleet size.
3. One-off fees. Onboarding, setup, training, integration packages and website builds can add hundreds or thousands of euros in the first month. HQ Rental Software, for example, charges a one-time onboarding fee of $550 to $1,500 depending on the plan.
4. Currency and VAT. USD and HUF prices move with exchange rates. Check whether the published price includes VAT and whether you can reclaim it.
5. Card deposits. Does the software place the hold itself, which payment provider does it need, how long does a hold last, and can you capture part of it for damage?
6. Local e-invoicing rules. Italy requires e-invoices through SDI. Spain's Verifactu invoicing rules apply to businesses from 1 January 2027 (companies paying corporate tax) and 1 July 2027 (everyone else), after Royal Decree-law 15/2025 moved the dates; confirm your case with your tax adviser. None of the vendor pages we checked, including Renviq's, mentions Verifactu. Ask each vendor directly what it supports in your country.
7. Data export. Ask how you get your bookings, customers, invoices and signed agreements out if you leave, and in what format.
8. Languages. Check the interface languages for your staff and the languages of the booking page and contracts for your customers. Website languages are not always the app's languages.
9. Phones at the counter. If staff do handovers in a car park or on a pontoon, decide whether a native app matters or whether a web app in the phone's browser is enough.
10. Trial on your own data. Use the trial to run a real week: a booking, a signed agreement, a pickup inspection, a return with damage, and an invoice.
