Short answer
HQ Rental Software is broad and well built, but priced in US dollars, with a one-time onboarding fee of $550 to $1,500 and $50 a month for every branch after the first.
Operators usually look elsewhere over that setup fee, or on finding that languages, the customer portal and dynamic pricing sit on higher plans. Renviq fits a European business running 1–50 vehicles; HQ still wins if you need a native staff app or OTA sync.

We sell rental software, so read this the way you would read any vendor's comparison. Every figure below came off the other companies' own pricing pages on 4 October 2026, and they are linked at the foot of the page so you can check them yourself.
Why operators leave HQ Rental Software
Rarely because of the product. HQ Rental Software is broad and well built: it runs cars and vans out of the box and adapts to motorbikes, boats, equipment and long-term leasing. The reasons we hear are commercial, and there are four.
The onboarding fee. Before the first month there is a one-time charge of $550 on Basic, $950 on Standard and $1,500 on Professional and Enterprise. For a business with eight cars that is most of a year's software budget spent before anyone has made a booking.
The per-branch charge. Every plan includes one rental location. The second one is $50 a month, and so is the third. An operator with a town office and an airport desk is paying for two branches on top of the plan.
Plan gating. Multiple languages, the customer login portal and the bookkeeping integration start on Standard at $175 a month. Toll management, API access and dynamic pricing start on Professional at $250. The feature you went looking for is often one tier above the one that fits your fleet size.
Dollars, and Curaçao. The prices are in US dollars, which moves with the exchange rate if you earn in euros. HQ Rental Software is the trading name of CAAG B.V., organised under the laws of Curaçao, and its terms of service are governed by Curaçao law.
What does each one cost?
Prices as published on 4 October 2026, for a business with twelve vehicles and two locations.
| Monthly | Before you start | |
|---|---|---|
| Renviq Starter | €49 — 15 vehicles, 3 users, unlimited locations | nothing |
| HQ Rental Software Basic | $120 + $50 for the second branch | $550 one-time |
| RentSyst Beginner | €55 flat to 15 vehicles, unlimited branches | €2.50 a month for integrations |
| Booqable Start | €35, or €29 billed yearly | nothing, but e-signatures start at €87 |
Renviq's own ladder is €49 for 15 vehicles, €99 for 50 and €199 for unlimited, with a Free plan for 2 vehicles and 10 bookings a month. Pro and Max open with a 14-day trial that does not ask for a card. The full table is on the pricing page.
How do the two compare?
| Renviq | HQ Rental Software |
|---|---|
| Every paid edition carries every feature; the plans differ by how many vehicles and users they hold | Languages, customer portal, API, dynamic pricing and toll management each start on a named tier |
| Cars, motorbikes and boats are first-class in the same system | Cars and vans out of the box; motorbikes and boats through configuration |
| Deposit held on the customer's saved card through your own Stripe account, re-authorised every seven days, captured in part at return | Rates can include a security deposit; a card pre-authorization is not described on the pages we read |
| Spanish and Italian government filings built from the booking | Not published |
| Nine interface languages | More than 30 |
| No native app — the web app runs in a phone browser | Native iOS and Android app for staff on every plan |
| No OTA channel manager | Availability sync with Expedia, Kayak and Turo |
The two rows at the bottom are the honest cost of choosing us, and they are not small ones. If a member of your staff needs an app icon on the home screen rather than a browser tab, we do not have that. If a third of your bookings arrive through Turo, we cannot keep that calendar in sync and HQ Rental Software can.
What HQ Rental Software does better
The staff app. iOS and Android on every plan, for processing pickup and return, uploading images, recording fuel and odometer, and taking the customer's signature at the vehicle. Renviq does all of this too, in the browser, but there is nothing to install.
Three ways to sign. On a tablet at the counter, through a link on the customer's own phone, or in the app at pickup. Signed agreements are stored with ID scans and damage photos.
Channel management. Thirty-plus integrations across payments, accounting and telematics, and availability sync with the OTAs. For an operator whose demand comes from marketplaces rather than their own site, this is the whole argument.
Reach. More than 30 interface languages, and more than 15 payment gateways.
When is HQ Rental Software still the right choice?
Pick it, not us, in four cases.
- You need a native app in your staff's hands. We have no answer to this.
- Your bookings come from OTAs. Expedia, Kayak and Turo sync is real and we do not have it.
- You are outside the countries Stripe onboards, or you take cards on your own terminal. Renviq's card deposits and online payments run through your own Stripe account; without one, deposits are recorded by hand.
- You run vans, equipment or long-term leasing at scale. Our long-term billing works, but their configuration surface is wider.
When is Renviq the better answer?
- You are in Europe and run 1 to 50 vehicles. The price is in euros, there is no onboarding fee, and extra locations cost nothing.
- You want the second half of the rental day, not just the booking. A branded online booking page, dual-signer rental agreements with a PDF audit trail, pickup and drop-off photo inspections with damage tracking, and an invoice that carries per-line tax, B2B reverse charge and credit notes.
- You want the deposit on a card without giving up the money relationship. It is your Stripe account, your payout, and we take no percentage of it.
- You rent in Spain or Italy. Veri*Factu records, the SES.HOSPEDAJES renter report, Ca.R.G.O.S. contracts and FatturaPA XML are built from the booking you already took.
- You want to try it before anyone sells to you. Free plan, or a 14-day trial with no card.
Renviq's own limits, so you meet them here rather than in month two: no native mobile app, no OTA channel manager, no card-terminal integration, no public reviews yet, and the two Spanish regimes do not cover the foral territories, which run TicketBAI and Navarra's own system.
How do you move across?
There is no import tool that reads an HQ Rental Software export, and anyone who tells you a migration is one click is selling. What actually happens:
- Export your fleet and your customers from HQ Rental Software as CSV. Vehicles carry over cleanly; customer records usually need the country column normalised.
- Rebuild the price list by hand. This is the real work, and it is worth doing rather than copying: seasons, weekend rates and duration tiers are expressed differently in every system.
- Run both for one changeover period. Take new bookings in Renviq, let the old ones finish where they were signed. Nobody's existing contract moves.
- Keep the old account open until the last agreement signed in it has expired. The signed PDFs are evidence and they live where they were made.
A fleet of twenty vehicles is usually a day of work, most of it the price list.
